The problem
Small teams do big work — with fragile systems.
These are general operational challenges that small nonprofit and community teams often describe. They are not findings about any specific organization, and no statistics are claimed here.

Names, emails, and conversation history live across inboxes, spreadsheets, and personal notes — hard to search, easy to lose.
Repetitive follow-ups
The same reminders, introductions, and check-ins are rewritten by hand, consuming hours that could go to programs.
Limited administrative capacity
One or two people often juggle programs, volunteers, and communications with no dedicated operations support.
Outreach that is hard to keep organized
Without clear stages and ownership, it is difficult to know who was contacted, what was promised, and what is next.
A lack of affordable, accessible tooling
Many existing tools are priced or designed for large sales teams — not for volunteers and small community initiatives.

Outreach Pipelines is being designed around a simple idea: organized workflows make responsible automation possible. Nothing below is presented as a live feature — each item is labelled with its current status.
Structured outreach workflows Exploring
Define stages such as “to contact → contacted → following up → confirmed” so every outreach effort has a clear state and owner.

Keep contacts, notes, and interaction history together so context is never lost when volunteers change.

Reminders and due-dates for next steps, helping small teams keep promises without relying on memory.

Templates, status updates, and routine bookkeeping handled by the system — always reviewable by a human.
In the future, AI may help draft outreach messages or suggest next steps from a team’s own notes. Any such capability would be opt-in, transparent about AI involvement, and require human review before anything is sent. No AI features exist in the project today.

- Affordability as a principle. Designed to keep hosting and operating costs near zero.
- Practical over flashy. Fewer features, done well, that fit real community workflows.
Responsible technology
Automation that respects people.
- Privacy-conscious. Collect as little as possible; this site uses no analytics or tracking scripts.
- Transparent. Clear labelling of what is built, what is planned, and when AI is involved.
- Human oversight. People review and approve before any outreach goes out — no autonomous sending.
- Responsible data handling. Contact data belongs to the organization; no sale of data, no hidden sharing.
